2. What Personal Data Is Collected

Client Data

We collect the following information when you book a service or complete our Intake Form:

• Full name

• Address

• Email and phone number

• Codice fiscale

• Emergency contacts and secondary contacts

• Payment details processed through SumUp

• Booking information and communication history

Dog Data

We collect information necessary to safely care for your dog:

• Name, breed, age, weight and sex

• Microchip number

• Vaccination status

• Medical conditions, medications, allergies and treatments

• Behavioural history, including aggression or reactivity

• Feeding and exercise routines

• Any other information provided through the Intake Form, Medication Form or contract 

Some of this information relates to health and behavior. We process it only with your explicit consent.

3. Why We Collect Your Data

We use your personal data only for the following purposes:

• Providing overnight care, daycare and dog walking

• Ensuring the safety and well being of your dog

• Managing bookings, scheduling and communication

• Sending updates and photos during services

• Providing emergency veterinary care if needed

• Issuing invoices and complying with tax obligations

• Protecting our legal rights and managing any disputes

We process your data on the basis of contract, legal obligation, legitimate interest and, where necessary, your consent.

4. How Your Data Is Stored

Your data is securely stored in the following systems:

• iCloud (encrypted storage for documents and forms)

• Email inbox (password protected with two factor authentication)

• WhatsApp (end to end encrypted for communication and updates)

• SumUp (payment processor for invoices and transactions)

Your data is not stored on public devices, USB sticks or shared computers. Only the data controller has access.

5. How Long Your Data Is Kept

Data is kept only for the time required by law or for the purpose of providing services.

• Accounting and invoice records: up to 10 years

• General client and dog files: up to 5 years from the last service

• WhatsApp communication logs: normally up to 2 years

• Documents related to incidents or emergencies: retained as required for legal purposes

When data is no longer needed, it is securely deleted.

6. Who Your Data Is Shared With

We do not sell your data. We share it only when necessary and only with:

• Veterinarians in case of medical need or emergency

• Payment service provider SumUp

• Accountants or regulatory authorities for tax and legal compliance

• Law enforcement if required by law

These parties act according to their own privacy obligations and only receive the minimum data needed.

7. Your Rights

You have the right to:

• Access your personal data

• Request correction of inaccurate or incomplete information

• Request deletion of your data when legally possible

• Restrict or object to certain types of processing

• Request a copy of your data

• Withdraw your consent at any time for data that is processed on the basis of consent

8. Photos and Videos

We may take photos or videos of your dog during services for updates and for records. These materials are used for promotional purposes only if you have signed the Photo and Video Release Form. You can withdraw this consent at any time.

We take appropriate measures to protect your data, including:

• Encrypted cloud storage

• Password protected devices

• Two factor authentication

• End to end encrypted communication

• Limited access to personal information

• Secure deletion of old documents
